Project Coordinator – Technology & Transformation
Location: Perth CBD
Employment Type: Fulltime Permanent
The Project Coordinator – Technology & Transformation plays a hands-on role in coordinating and delivering Fenix’s IT and business transformation initiatives. Working across Mining, Road, Port and Corporate, the position helps our teams work more effectively through better systems, processes and technology.
Working closely with the GM of IT, the role keeps projects, actions, priorities and reporting organised and on track. It is a central point of coordination between the business and our IT, data, applications and AI specialists, without having direct reports or needing to develop software.
The position supports major initiatives including ERP implementation, workforce and operational AI, and continuous improvement. It suits a proactive, resourceful person who enjoys engaging with people, getting into the detail, following through on commitments and helping practical improvements become part of everyday operations.
Key Duties & Responsibilities
- Project Portfolio Coordination: Maintain a clear, accurate view of IT and transformation projects, including priorities, owners, milestones, dependencies and deadlines; follow up on progress and actions.
- Project Administration & Follow-through: Keep project plans, trackers, action registers, meeting notes and key documentation current; coordinate meetings and ensure commitments are closed out.
- Executive & Board Reporting: Prepare polished weekly and monthly updates and reporting packs for the GM of IT, CFO and Board, highlighting progress, benefits, risks, blockers and decisions required.
- Business Engagement & Discovery: Build relationships across operational and corporate teams; facilitate practical discussions to understand challenges, capture requests and identify improvement opportunities.
- Process & Requirements Support: Document existing workflows, business needs, improvement ideas and clear requirements so technical colleagues and stakeholders can agree on achievable solutions.
- ERP & Strategic Programs: Coordinate business readiness and delivery activities for ERP rollout and wider IT, workforce AI and operational AI initiatives, working closely with project owners.
- Implementation & Testing: Support planning, system testing, UAT, issue resolution, go-live preparation and handover; take ownership of practical delivery tasks rather than only managing schedules.
- Training, Change & Adoption: Help plan and deliver communications, user guides, training and staff support to embed new systems and ways of working across the business.
- Team & Stakeholder Coordination: Work alongside data, applications, AI and IT specialists; facilitate information flow, clarify actions, follow up on dependencies and keep work moving without line-management authority.
- Risks, Issues & Decisions: Proactively identify delays, competing priorities, emerging risks and unresolved issues; escalate appropriately and help resolve problems before they affect delivery.
- Benefits & Continuous Improvement: Capture feedback, track practical outcomes such as time saved and adoption, and help teams identify further improvements after implementation.
Experience & Technical Capabilities
- Relevant Experience: Ideally 3+ years in project coordination, business readiness, systems rollout, transformation, business analysis or operational improvement. Capability matters more than a specific title.
- Project & Reporting Skills: Strong administration and coordination skills, with confidence using Excel, PowerPoint, Teams, SharePoint and project tracking tools to produce high-quality updates.
- Implementation & Change: Experience supporting stakeholders, documenting processes, coordinating training, UAT or systems adoption; ERP implementation exposure is highly regarded.
- Technology & AI Awareness: Comfortable working with technical specialists and keen to learn how business systems, reporting, automation and AI can improve operations. Coding is not required.
- Industry & Qualifications: Mining, logistics, project-based or operational experience is advantageous. Relevant qualifications in business, projects or change are welcomed but not essential.
